Privacy Policy

Overview

ReplyGenie ("we", "our", or "us") is a Chrome extension that generates AI-powered email replies directly inside Gmail and Outlook Web. We built ReplyGenie with privacy as a foundation, not an afterthought.

What data we access

To generate email replies, ReplyGenie reads the content of the email you're currently viewing. This is the only data we access:

• The email thread you open in Gmail or Outlook Web when you click the ReplyGenie button
• Your selected tone preference (Professional, Casual, Direct, Short Reply)
• Basic extension usage metadata (e.g. number of replies generated) for rate limiting on the free plan

What we do NOT store

• We do not store, log, or retain any email content after a reply is generated
• We do not store the content of any email thread you open
• We do not read emails you haven't explicitly requested a reply for
• We do not access your contacts, calendar, attachments, or any other account data
• We do not track your browsing history or activity outside of the extension

How email data is processed

When you click the ReplyGenie button, the current email thread is sent over an encrypted HTTPS connection to our AI processing server. The AI model generates a reply suggestion, which is returned to your browser and displayed in the extension panel.

The email content is used solely for this single request. It is not stored in any database, not logged to disk, and not retained in memory after the response is returned. It never touches a third-party advertising or analytics platform.

AI model and third-party processing

ReplyGenie uses large language model APIs to generate replies. These APIs may be operated by third-party providers. Email content sent to these providers is subject to the same immediate-discard policy — we do not permit these providers to retain, train on, or use your email data for any purpose beyond generating the immediate response.

We select AI partners that offer zero data retention for API calls and we include data protection terms in all provider agreements.

Waitlist and account data

If you join our Pro waitlist, we collect your email address to notify you when Pro launches. This data is:

• Stored securely and used only for product launch communications
• Never shared with or sold to third parties
• Deletable on request at any time — email support.replygenie@gmail.com

Cookies and analytics

The ReplyGenie landing page (this website) may use minimal, privacy-respecting analytics to understand page traffic. We do not use advertising cookies, cross-site trackers, or fingerprinting. The Chrome extension itself does not set or read any cookies.

Data security

All data in transit is encrypted using TLS 1.3. We follow industry-standard security practices for any data we do handle (such as waitlist emails). We conduct regular security reviews and respond to vulnerability reports promptly.

Your rights

Depending on your location, you may have rights under GDPR, CCPA, or other privacy laws. These include the right to access, correct, or delete data we hold about you. Since we hold very little data, most requests can be fulfilled immediately. Contact us at support.replygenie@gmail.com for any privacy-related request.

Children's privacy

ReplyGenie is not intended for use by anyone under the age of 13. We do not knowingly collect personal information from children under 13.

Changes to this policy

If we make material changes to this Privacy Policy, we will update the "Last updated" date at the top of this page. We may also notify users via the extension or the waitlist email. Continued use of ReplyGenie after changes constitutes acceptance of the updated policy.
